Terms & Conditions

These Terms & Conditions include policies & procedures for classes.

 

1.   General Conditions

The Service(s) provided by West Surrey Pilates are offered to each Client as conditional on their acceptance of these terms and conditions contained here without modification.

Any and all information is subject to change without notice. You agree that West Surrey Pilates will not be liable for any direct, indirect or consequential loss arising from the use of information and material contained in this website and/or from access to other material on the internet accessed from this site.

 

2. Services

​

All clients are required to complete a Registration Form as part of their enrolment process for West Surrey Pilates classes

 

Once purchased, the Services may only be used by the Client and are not transferable to third parties.

 

The minimum age to attend classes is 16 years old, if parental permission is provided for those under 18. Exceptions, where younger children can attend if accompanied by a parent, may be available and should be discussed with West Surrey Pilates in advance of the class.

3. Studio / Online Liability Release

West Surrey Pilates accepts no responsibility for any client who does not follow the instructed class or has not disclosed any medical conditions or recent injuries. It is essential that you complete a Registration Form as part of your enrolment and in doing so fully complete the health questions set out. It is your responsibility to do this, and to also inform West Surrey Pilates if your medical condition and/or general level of fitness subsequently changes. During classes it is also your responsibility to inform the instructor is you feel unwell or any discomfort at any point. You accept that there is risk associated with all forms of exercise either during or after. You take full responsibility for your own health. You will not hold West Surrey Pilates or associated staff liable for any injury, loss or expenses suffered as result of your participation in any class or session. 

 

 

4. Fees

 

Pilates classes run during term time only. Each block booking of classes is, on average, for 6 weeks of classes in relation to the period up to or after half-term for each of the autumn, spring and summer terms. West Surrey Pilates will inform you about the dates and cost of each block booking (given this is more cost effective than pay-as-you-go) no less than 2 weeks before the start of that batch of classes.

 

West Surrey Pilates reserves the right to increase its fees at any time but will give at least 4 weeks’ notice of any changes.

 

5. Privacy

 

West Surrey Pilates is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified, then you can be assured that it will only be used in accordance with this privacy statement.

 

We may collect the following information: Name, age, job title, contact information including phone number(s) and email address, health and injury history, demographic information such as postcode, preferences and interests

 

We require this information to understand your needs and to provide you with a better service, and in particular for internal record keeping and to improve our products and services for you.

 

On your Registration Form for West Surrey Pilates, you are asked if you would like to join the West Surrey Pilates mailing list and receive occasional updates about general Pilates activities and details of any special offers. Whilst such communications will genuinely be both occasional and relevant to you, we will respect your wish to opt-out of receiving such messages and you may unsubscribe at any time by sending an email to admin@westsurreypilates.co.uk.

 

West Surrey Pilates will not share any Personal Data that you have provided with any third parties. We will use your data to communicate effectively with you, and to ensure that the services provided by West Surrey Pilates are relevant and of value to each of our clients.

 

 

6. Policies & Procedures for Classes

 

a. Putting your block booking / membership on hold

​

If you are unable to participate in your regular class for a lengthy period of time, for example through injury / illness, then we can put your remaining paid-up classes on hold for a maximum of 3 months before reviewing your situation. Putting your membership on hold, rather than cancelling it completely, guarantees that your space in your preferred class swill still be available for you as and when you are able to resume classes.

 

b. Cancellation of a session by a client

 

We recognise that on occasion clients will book onto a session and subsequently find that they are unable to attend. If you need to cancel your session, please send me an email at  helen@westsurreypilates.co.uk no less than 24 hours before the start of the class you are booked on to. If 24 hours’ notice is not given, you will forfeit the class and you will be no longer be eligible for a catch-up session. In this instance, no fees will be refunded.

 

If a minimum of 24 hours’ notice of cancellation has been given and you wish to ‘make up’ the class you are unable to attend, you can attend any of the other classes that West Surrey Pilates runs during the week. You have 4 weeks as of the date of your missed class to catch it up, and this may mean that you attend 2 sessions in one week.

 

All missed sessions should be made up before a New Year and any missed lessons will not be carried over to a following year.

 

If a catch-up session has been arranged but you are subsequently unable to attend this class, there will be no possibility for a second ‘catch up’ session and the class will be forfeited.

 

c. Cancellation of a block booking by a client

 

West Surrey Pilates is committed to providing a high-quality service to all clients and will aim through your initial assessment process to place you in a suitable class environment. However, if you find that you no longer wish to continue with classes at West Surrey Pilates, please send an email to helen@westsurreypilates.co.uk to say that you wish to cancel your block booking. Cancellation notification requires 7 days’ notice and the balance of your block booking will be refunded to you.

 

d. Cancellation of a session by West Surrey Pilates

 

West Surrey Pilates is committed to offering a high-quality service that meets the needs of its clients and will always aim to run the lessons and classes as scheduled.

 

Occasionally circumstances will arise which result in the need to cancel a class at short notice. In such an event West Surrey Pilates will take active and positive steps to inform clients as soon as possible initially by mobile text or, failing that, email and/or landline phone. Please therefore ensure that West Surrey Pilates has your up-to-date contact details.

 

West Surrey Pilates reserves the right to modify or cancel a lesson if unforeseen circumstances arise but will endeavour to avoid doing so.

 

In these circumstances, any sessions already paid for but subsequently cancelled by West Surrey Pilates will be carried over and a catch-up alternative will be offered to clients. In the event that a catch-up alternative is not possible, West Surrey Pilates will ensure that the fee for the session cancelled is refunded to your account as soon as possible.

 

7. Medical matters

 

An enrolment health form should be completed before your starting date in which you will be asked to disclose any pre-existing medical conditions. Please advise West Surrey Pilates of any changes to your health that may affect your ability to exercise.

 

The health and fitness information provided through West Surrey Pilates’ classes are designed for educational purposes only and is not a substitute for professional medical advice. If you have any concerns or questions about your health, you should consult a physician or healthcare professional.

 

8. Mobile phones

 

Please ensure that your mobile phones are switched off or on silent during a class so as not to disturb the session. If, however, you are expecting an urgent phone call, please feel free to leave your mobile on but do let me know at the beginning of the session.
